Reliable Backup Strategies for Small Business

Small Businesses today use technology and rely on the validity of their data just like the big companies do. However, they do not normally have the budgets to have elaborate tape storage or network storage devices to have multiple versions of customer databases, accounting data or any other bits of information that are important to the overall success of their business.

Most small businesses that experience a serious data loss or catastrophe never fully recover or even stay in business. Events in the past few years like Hurricane Katrina or 9/11, have shown the importance of backup and then securely storing your critical business data outside of your office in a secure storage facility.

Here are some basic recommendations so you can sleep at night, knowing that your data is securely backed up and also that you can confidently restore your data when you ever need to. Remember it is not if you need to restore it is when.

Versioning and Saving

One thing that I have found to be effective in my own backup of files, especially this article, is to save versions of the file as you work. If your document or spreadsheet becomes corrupt for some reason, you can always go back to a previous version. Also, ensure you save often. Nothing worse than having a system crash or freeze and you lose hours of work.

Invest in a Server

Most Small Businesses chose consultants or resellers that rarely show the real value that a server can bring to your organization. Microsoft has priced their Small Business Server so that all Small Businesses can put in a server with email services starting around $3,500.00.

What does a server offer?

A server will provide you with a central and secure system to store your corporate data. Permissions can be set on files to prevent unauthorized access, which could lead to data deletion. Most data loss due to deletion comes from accidental deletion or disgruntled employees that are upset with the owner or management.

Also with a server you will have one place to backup your data to tape or disk, your data is not scattered on your computers all over the network. This will also save you consulting dollars due to the ease of administration.

Windows Servers today come with a service called "Volume Shadow Copy" that will take a snapshot of your data periodically throughout the day, giving you yet another level of backup. You can now recover data from your server without paying those expensive IT consulting bills.

Tape or Disk Based Backup Systems

If your company is using tape or disk (hard drive, CD Rom, or DVD) based backup systems, it is important to ensure that you are doing a full backup every evening. This way if you need to restore from tape or disk, you can feel confident that all your data was backed up the night before.

It is important to ensure that you have a GFS (Grandfather, father, and son) backup system in place, you can do this easily with tape based back ups, you need about 10 tapes to make this happen. I recommend have 4 tapes for the Monday to Thursday backups, 4 or 5 more for each Friday of the month, and then 1 tape for your month end. This is a minimum, you can add more tapes if you wish.

Offsite Media Storage

Storing your backup media offsite is critical to the success of your company. I do not recommend taking this home or leaving it in your car, this is not a secure way to store your business data. There are many organizations that have secure vaults and will charge around $60.00 per month for a basic storage plan. I recommend solutions from Iron Mountain, Kestrel or a local organization, in Calgary we recommend Calgary Archives (http://www.calgaryarchives.com)

Electronic Backup

The next level of protection is electronic offsite storage, this is a backup that is done electronically and sends your critical data across the Internet to the service providerรขโ�ฌโ�ขs secure electronic vault. Your data is compressed and encrypted at your office and then securely transmitted to the service providers. We recommend the services provided by eBackup (www.ebackup.biz). Their services will backup your critical corporate data, your mailboxes on your Small Business Server and your critical customer databases.

Conclusion

The most important thing about any successful backup plan is to ensure you can restore from these backups. Proper and frequent testing of your backup plan will ensure that you can restore from backup in the event of a loss of data or catastrophic disaster such as fire, theft or critical system failure. Remember, you can never have enough backups of files or enough types of backup. Better to be safe than sorry.

However, we never can be too safe; in the event of an unavoidable data loss, it is better to go see a data recovery specialist immediately as trying to recover data yourself could only worsen an already bad situation.

The bottom line here is that, although emergencies occur that sometimes are unavoidable, you can still be in control and be ready for all eventualities.

When Disaster Strikes: How Long Would Your Business Survive if Files On Your Computer Disappeared?

A Tornado? In Birmingham? In The United Kingdom? Unthinkable!

Yes, in July 2005 (while I was putting finishing touches to my cave-house in Spain) my house, along with many of my neighbours' houses was struck by a powerful tornado that literally tore up the streets. Leaving people homeless as their homes were bulldozered (with all their possessions inside).

Thankfully, my house was still, pretty much intact and won't be being demolished but I work from a home office. I have lots of critical data and information on my computer - marketing information, accounts information, key contacts, books in progress to name a few. If my house was bulldozered (and I didn't have an adequate off-site backup system) I would have lost the lot. As it was, I was still able to access my key files even from Spain.

But how would you fare? What if your computer went kaput this very minute? What if a freak accident, theft, or natural disaster literally destroyed your computer and you lost all your files? Would you be able to get back up and running with minimal fuss or would your business be crippled for a long time to come?

No one wants to think about it, but in light of recent world events it makes sense for every company to have in place a business continuity plan. How To Go About Data Recovery If You Have A Hard Drive Crash

DWG (Design Web Format) files require a separate recovery procedure. Linked to AutoCAD, Design Web Format files are rich in graphics. Therefore, a specialist in disk recovery may not have a clue into saving your DWG files.

If a file is lost during a hard drive crash, it takes a specialist to retrieve the damage. An Intel CAD system cannot fix the damaged files on hard disks or storage mediums. The repairs have to follow a unique course of action.

The Importance of Backing Up

In this computerized digital age, making backups of your critical data has become a crucial necessity.

As with any electronic device, glitches can occur without warning and, when it comes to computers, they can often result in the loss of important files. But, what if there was some way to recover the data that you thought was lost? For many, this theory is music to your ears. The good news is, however, that itรขโ�ฌโ�ขs not a theory because your computer may have an excellent data recovery capability that you didnรขโ�ฌโ�ขt even know about.

The first and most reliable way to ensure data recovery is to make a back-up copy of your file(s) and store them onto a CD or another location in your computer. In some cases, you may even prefer to store a back-up file on a different computer. This will help greatly in the event that your original file becomes corrupted or is missing.

If you are operating your computer using Microsoft Windows XP, you may use the System Restore feature to undo harmful changes to your computer and restore its settings and performance. System Restore returns your computer to an earlier time (called a restore point) without causing you to lose recent work, such as saved documents, e-mail or history and favorites lists. As an added benefit, any changes that System Restore makes to your computer are completely reversible. You may access this feature by clicking on Programs, then Accessories and choosing the System Restore feature. This will work as an effective data recovery method for most computer users.

If you experience problems with your startup screen, you may be able to restart the system in Safe Mode. This will allow for you to make some changes and access several features in an effort to find the problem. In Safe Mode, you will only have access to basic files and drivers, but will not be able to logon to the internet.

If you are still experiencing difficulty with data recovery, you may find success with inserting the appropriate Restore/System CD that came with your computer. When prompted, you can choose to repair the system without affecting any data or software programs. To do so, restart the computer with the CD inside and press R to start the Recovery Console. From there, you can access the drives on your computer and make any needed changes. This approach is effective if the computer is experiencing a problem with startup or is not working properly and no other remedy will work.

If you are experiencing problems that none of the aforementioned methods will correct, your last resort may be to use the Windows Installation CD, which will reinstall the operating system to itรขโ�ฌโ�ขs original configuration. This will erase all files, including data files, which means the only way to have a successful data recovery using this method is if you have saved back-up copies that you can access via CD-Rom or another computer and transfer them onto the reinstalled system.

In conclusion, the most successful data recovery will come from back-up copies and/or being able to use the Repair feature without affecting current files or programs. In some cases, the manufacturer of the computer may be able to recommend additional steps for data recovery, but the most common ones are outlined above.

A Helpful Guide To Recovering Lost Files On Your Computer

Computers are a blessing, until you get the infamous blue screen of death, or perhaps less dramatic, you accidentally erase a file. In many cases of deleted files, the file can be retrieved.

If you recently deleted the file, look through the Recycle Bin (or Trash for Macintosh users). In the Recycle Bin you can browse through a list of deleted items, or search for a specific item. Restoring the file from the Recycle Bin is simple. You can restore it directly from the Recycle Bin, move the file to the desktop for restoration, or open the file and resave it.

If the Recycle Bin or Trash does not have your file, look throughout the computer for a back up. The back up could have been manually created by you, or automatically created by your computer. If you are in a network, look through the server's files for your missing file. If you find a backup, be thankful and resave the file.

If at this point you still have not been able to find the file, you will likely need to start spending some money. Be sure to consider how much time and money the lost file is worth. If it is not much, now would be a good time to cut your losses and recreate the file. If the file was one of a kind, not redo able, find a file recovery system program or hire a human recovery specialist. These specialists understand the ways of a computer and where it puts things; but will not be inexpensive.

If you lost your entire hard drive (this may or may not have activated the blue screen of death), first take a deep breathe and let it out. Secondly, use the disk repair program included with Microsoft and Macintosh software. If the software disk does not help, move onto a disk repair program purchased from another company. Your last choice is to have a specialist come in, or bring the hard drive in to try and recover as much information as possible. This option will be costly with no guarantee of success. Once you go through this process once, there is the guarantee that you will not want to do it again.

To avoid losing every file you have made, back up every file you have made to a location other than the hard drive. Disks, USBs, CDs or servers are all good options. After each major change to your file, remember to save the file to both, or all, locations.

When installing a file recovery program, use the program from its installation device to avoid accidentally rewriting any of your files. Lastly, try to install this program before you have lost files. The likelihood of recovering lost files greatly increases if the program is installed ahead of time.

Business Continuity and Disaster Recovery - The Business Continuity and Disaster Recovery Plan

Essentially, the plan addresses the who, what, where, why and when of recovery. Goal number one is to reduce the risk profile of the business. Goal two is to be well prepared so the impact of any disruption is minimized. Overall, the objective of the plan is to effectively minimize the chances of disruption and, if there is a disruption, to quickly implement the recovery and get the business or organization working again. The "why" is to maximize business continuity and minimize damages to company assets. Ultimately, the goal is to protect the organization from the key risks identified and to effectively implement the recovery strategies.

The "what" is a clear, detailed, but focused business continuity and disaster recovery plan, a plan that provides a successful road map to minimize business interruption and maximize business continuity.

The "who" refers to the teams. The recovery effort is focused through teams. While the Emergency Management Team is the leader of the recovery efforts, other teams could include: IT, telecommunications, facilities and power, customer relations, public relations, billing, customer service, and human resources.

Important - Severe Windows Security Flaw: What You Can Do Right Now To Secure Your Data

On 28 of December a severe Windows security flaw, WMF Flaw, was detected, in all Windows versions from Win98 to WinXP, no fixing patch exists yet. Using it, anyone can do any malicious action with your computer, steal or even erase your data.

This article will help you understand what it is and how YOU can fix it until Microsoft releases a patch.

By Washington Post: "Computers can be infected simply by visiting one of the Web sites or viewing an infected image in an e-mail through the preview pane [...] even if users did not click on anything or open any files."

"Microsoft said in a statement yesterday that it is investigating the vulnerability and plans to issue a software patch to fix the problem. The company could not say how soon that patch would be available." http://www.washingtonpost.com/wp-dyn/content/article/2005/12/29/AR2005122901456.html

How severe it is: "This vulnerability can be used to install any type of malicious code, not just Trojans and spyware, but also worms, bots or viruses that can cause irreparable damage to computers," said Luis Corrons of Panda Software.

In a security advisory posted on its Web site, Microsoft confirmed the vulnerability and the associated release of exploit code that could compromise PCs, and listed the operating systems at risk. Windows 2000 SP4, Windows XP, Windows Server 2000, Windows 98, and Windows Millennium can be attacked using the newly-discovered vulnerability...

"The vulnerability is in the Microsoft Windows Graphics Rendering Engine, that is why the exploit affects Windows versions from Win98 to WinXP.

Unlike other security vulnerabilities, this one allows a _data file_ to execute arbitrary code upon it being viewed. In other words, a (picture) data file can contain executable code to "help" Windows display it, and Windows will execute it unquestionably.

Your computer can be infected whenever Windows uses its default image viewer to display certain image types. This means there is a long list of applications that are vulnerable that rely upon the image viewer code. Windows uses this code when previewing images, for example.

*What YOU can do right NOW*, to secure your computer until a patch from Microsoft is released:

Go to Start > Run, paste there the following line: regsvr32 /u shimgvw.dll and press OK.

If everything goes right, you'll see the following message: "DllUnregisterServer in shimgvw.dll succeeded."

It will disable the problematic dll, forcing all other programs to use their own engines, if exist. Keep in mind that this will disable thumbnail previews in Windows Explorer. One may experience problems with opening any image file after unregistering this dll.

(To reactivate this feature: Start > Run > regsvr32 shimgvw.dll)

We will send another update, when the patch from Microsoft is released, with instructions how to apply the patch and re-activate the feature."

And another important thing: since this is such a serious flaw, you may start getting phishing emails pretending to originate at Microsoft, urging you to do something with your computer, apply some "patches". Don't do it.

How To Limit Hard Drive Data Recovery Costs

With the value on information rising day by day, one of the greatest threats to businesses of any size is data loss. If the data centers in your business have ever experienced a hard drive disaster, you quicky realized just how valuable the information lost is.

And then, the situation becomes even worse, when you realize how much it is going to cost for a disaster recovery specialist to try and retrieve or restore your data for you.

Here are some basic tips for avoiding such a situation.

Better yet, leave program installation, removal and system partitioning to your tech support.

5. Make sure employess report any problems that crop up on their machines. If even one computer starts acting strangely, running slower, or giving error messages, have support run a scan disk or CHKDSK immediately. Remember, it will be much cheaper to repair one computer's hard drive than to pick up the tab after a total system disaster!

How To Go About Data Recovery If You Have A Hard Drive Crash

DWG (Design Web Format) files require a separate recovery procedure. Linked to AutoCAD, Design Web Format files are rich in graphics. Therefore, a specialist in disk recovery may not have a clue into saving your DWG files.

If a file is lost during a hard drive crash, it takes a specialist to retrieve the damage. An Intel CAD system cannot fix the damaged files on hard disks or storage mediums. The repairs have to follow a unique course of action.

If your hard drive does crash, stop using that computer immediately. Hopefully, you have a back up. If not, do not attempt to run any data recovery program that came with the computer. Usually, this type of program writes over the original data. Using one of these programs can erase your important files.

The first step is to allow a hard disk recovery company to restore your pertinent files. Contact a reputable company immediately. They will probably ask you to bring your computer to their location. Although, there are a few companies who come right to your home. At-home computer services will charge more. With any luck, the few of your DWG files will be repaired, however many more will still need attention. Missing files or data out of sequence will keep these files from working properly.

To find out which files were saved by the hard disk recovery firm, you can run an Intel CAD program called AuditDWG. This will tell you which files were repaired.

Once the company has done what it can, you will probably need to talk to a specialist in DWG file recovery. Often, the first company you deal with will put you in touch with a specialist. This person will then come in and try alternate methods to retrieve and recover your missing information. In some cases, the hard drive will need to be mailed out for repairs. It is a better option than losing your files permanently.

Even after taking these steps, there may be issues that could not allow the retrieval of your files. If there is damage to the hard drive, you may suddenly have bad sectors that prevent the recovery of information. There really is little you can do if this occurs. Try running Acad, but this will not always work.

When the damage is extensive, you may have to personally rebuild certain files from scratch. Though time consuming, it really is the only way. Not words you want to hear, but at least some files were recovered.

DWG files can be a pain to recover during a hard drive failure. Remember that you are not the first to experience this problem, and you will not be the last. There are experts who are ready to help!
